Recording Immunization Dates
There is a section in each child's profile called "Immunizations." This can be found under My School > Students; you would click on a child's name, then select the Immunizations tab at the top. (Blue Circle)
Schools have the option to enable or disable the immunization section within each child's profile. The button to do this is highlighted in red above.
The default list of immunizations are as follows:
DTaP - Diphtheria, Tetanus, acellular Pertussis (5 doses)
Hib - Haemophilus Influenzae Type B (4 doses)
Hep A - Hepatitis A (2 doses)
Hep B - Hepatitis B (3 doses)
MMR - Measles, Mumps, Rubella (2 doses)
PCV - Pneumococcal Conjugate Vaccine (4 doses)
Polio (4 doses)
Rotavirus (3 doses)
Flu - Seasonal Influenza (5 doses)
VAR - Varicella (2 doses)
For each child, you will need to enter the dates for when the immunizations took place manually. You can also upload any documents relating to immunization records using the Upload Document option. This will not automatically fill in the dates, but is a good way to organize and keep track of the child's paper records.
At this time, we do not have the ability to notify admins when a shot is coming up or due.
You can go to the Reports section of the website in order to pull an Immunization Report, which will show all recorded dates for children within a specific room, or all rooms of the school.
The report can be found at the bottom of the Reports page of the website in the "Management" section.
Highlighted Orange Fields in the Report
The report will indicate fields in Orange if that field has a date outside of the shot's expected monthly due date, based on the child's birthday.
These monthly due dates are listed along the top of the report.
For example, if the child's birthday is January 1, 2019, and their 1st DTaP dose was due within 2 months, but was instead given in March, then the field will be orange. All of the following dosages would also be indicated orange since they will most likely be delayed based on the first dosage in March.
Highlighted Red Fields in the Report
The report will indicate fields in Red if that field is past due and there is not any data entered for the field.
The due dates are based on the child's birthday, similarly to the fields that are highlighted in orange.
For example, if the child's birthday is January 1, 2019, and their 1st DTaP dose was due within 2 months, but this data was never entered or the child hasn't received this dose, then this field will be highlighted in red on March 1st.
Contact us via chat on the website if you would like to adjust the immunization requirements. In order for us to adjust your immunization requirements correctly, you will need to include a link, document, or image of your immunization requirements with your request.
Please keep in mind that the fields in this report are meant for a one-time, determined due date. If you have requested us to manually add a field like "Physical Date", which has an annual due date, this field will always appear red in the immunization report.
We can also enable the immunization section for your school if you would like to use it but it's not currently available under the student profiles.
